2. Roles and Responsibilities

Coaches:

Lead emergency response until EMS arrives.

Team Manager:

Assist with crowd control and communication.

Call parents/guardians as needed.

Volunteers / Staff:

Support evacuation, communications, or medical assistance as needed.

3. Emergency Procedures
3.1 Medical Emergency (Injury, Collapse, Concussion)
-
Assess the situation (Do not move the player if a head/spine injury is suspected).
-
Call 911 immediately if:
-
The player is unresponsive or not breathing.
-
There’s severe bleeding, suspected fracture, seizure, or head/spine trauma.
-

Administer First Aid/CPR if trained.
-

Designate someone to meet EMS and guide them to the location.

Contact Parents/Guardians.

Complete an Incident Report within 24 hours.
3.2 Weather-Related Emergencies
Lightning / Thunderstorms
-
Suspend play immediately.
-
Bamford Sports Complex

Listen for the lightning alarm
-
Located on the scoreboard at Bronco Field 4.
-
One strike get off the field and seek shelter.
-
Three strikes all clear.
-

Shenandoah Park
-
Follow the 30/30 Rule:
-
If thunder occurs within 30 seconds of lightning, seek shelter.
-
Wait 30 minutes after the last sound of thunder before resuming play.
-
-
Safe shelters: Enclosed vehicles, buildings with plumbing/electricity.
-
Unsafe areas: Tents, trees, metal structures.
Extreme Heat
-
Monitor heat index and enforce water breaks every 15–20 minutes.
-
Watch for signs of heat exhaustion or heatstroke.
Hurricane / Tornado / Severe Wind
-
Evacuate fields and seek shelter in the nearest solid structure.
-
If no building is available, players should lie flat in a ditch away from trees or metal.
3.3 Fire or Explosion
-
Evacuate the area calmly and quickly.
-
Call 911.
-
Account for all players and staff at a designated safe area.
-
Do not return until cleared by authorities.
3.4 Missing Child
-
Notify all adults present and begin search immediately.
-
Check all bathrooms, vehicles, and surrounding areas.
-
Call 911 if the child is not found within 5 minutes.
-
Contact the child’s parents/guardians.
-
Designate a point person to coordinate with emergency services.
3.5 Active Threat / Violence
-
If safe, evacuate the area.
-
If evacuation is not possible, shelter in place and lock or barricade doors.
-
Call 911 when safe to do so.
-
Do not confront the threat unless absolutely necessary for survival.
4. Communication Plan
-
Use club’s GotSport Team App for communication.
-
Designate a spokesperson for media/public (Executive Director).
-
Notify parents immediately in case of injury or emergency.
5. Documentation & Reporting
-
Use a standard Incident Report Form for all emergencies.
-
Submit to Executive Director within 24 hours.
-
Maintain records for 3 years.
6. Review and Updates
-
EAP reviewed annually by the Club Board.
-
Updates will be communicated to all members when changes to the EAP are made.
